What is Office 365 Planner?

Have you ever used OneNote or something similar to assign tasks or create plans for future projects?

Office 365 have introduced Planner which will help keep yourself and your organisation focused with an easy to access; easy to use planner. Quite simply it makes it easy for a team to create new plans, organise and assign tasks, share files, chat about what they’re working on, and get updates on progress.

Below are 5 things you should know about the new Planner feature.


You probably already have it

If you have an Office 365 subscription already, chances are you already have Planner. This means you’ll be able to use Planner at no extra cost – you have nothing to lose by trying it out!

 Planner hub

The first page you will go to is the “Planner hub”, this is an overview page and where all your private and your colleague’s public plans will be saved to.

Everything gets saved automatically, making it quick and easy to use. The Planner hub is very useful in allowing your company to have multiple plans for different departments, but also allowing you to quickly between one plan and other if required with no hassle. You can also add plans to your favourites, which will tag them and make them appear on the left-hand column

Assigning tasks with ease

This new feature of Office 365, allows you to not only assign tasks but also set a scheduled day of when it is due. You can even create a new bucket which gives you a new list to start assigning tasks from, thus you could have different lists for different colleague’s.

It’s easy to complete a task too, just simply hover over the completed task and click the green button to let the system know the task has been done. This allows for easy delegating of tasks and tracking of completed tasks.

Under the ‘Planner hub’ there is also a section where all your assigned tasks are kept, so regardless of what planned tasks are assigned, you can see all the tasks assigned from one central location.



Automatically updating charts

As you can see in the above picture, you have the ability to assign tasks where you can also view what tasks are outstanding, completed or overdue with an automatically updating chart. This helps managers keep track of how the plan is progressing and whether all the required tasks are completed on time.


You can get email updates

To get notifications when a task has been assigned to you there is an email notification system built into Planner. Simply go to the plan you want email notifications for, click the three dots next to Notebook and select ‘Subscribe to email updates’.



All in all, if you need to plan something that needs more organisation than a simple to-do list can offer, but don't want to get into the complexity of proper project management, Microsoft Planner is definitely the tool for you.
